Cross Creek Homeowners’ Association Board Meeting                   February 22, 2016

 

Present:  Rob Mazzola, Jenn French, Gerry Powierski, John Ellwood, Clarence Brantley, Pari Salimnia, Mary L. Johnson                               

Meeting held at Jennifer French’s home. 

Meeting convened at 7:42 PM

 

The cost for Master Care Lawn Service went down $200.00 from last year.  Less area to cut, per Jennifer. Everyone agreed that the flowers were “okay” last year.  Rob knows someone but does not know what his options are.  It was discussed that all committees should be formalized as no one knows what others are doing.

A formal list of committees were submitted for Board members to tentatively sign up to work on---

Grounds Maintenance & New Landscaping---Jennifer

Oversee grass cutting, fertilizing and weeding

Oversee planting of flowers

Oversee new landscaping.

 

Common Area Infrastructure Maintenance----John

Repair drains

Maintain pond

Trim and/or remove trees

 

Lighting – Kyle, Jennifer

Maintain entrance lights

Maintain sign lights

 

Sprinklers---Gerry

Maintain and repair sprinklers

Responsible for setting timers

 

Welcoming Committee – Stephanie (volunteered)

Welcome new homeowners

Maintain welcome packets

 

Special Events & Community Relations ---Stephanie, Sindy

Arrange garage sale

Arrange Halloween events

Arrange summer events

Maintain relations with other subdivisions

 

Traffic – Rob

Responsible for controlling speeds

Responsible or arranging traffic signage

Responsible for contact with Police

 

Governmental Relations  --Mary, Pari

Interacts with City and County

Interacts with schools

 

Financial – Clarence

Collect Association dues

Pay association bills

Prepare financial reports

File annual organization report

Prepare dues confirmation letters

 

Other members or residents may be invited to work on your committee.

Officers for 2015 were vacated and Newly elected 2016 officers are:

President – Rob Mazzola

Vice-President – Gerry Powierski

Secretary – Mary L. Johnson

Treasurer – Clarence Brantley

Motion and approved for the new officers for 2016.  All agreed.

Discussion on emails…We never recover our email last from the annual meeting last year.  Some residents do not want their email published.

It was discussed that the Board would have quarterly meetings unless some important issue came up.  The annual homeowners’ meeting will still be held.  Rob will set up the meetings and give Board members the dates for the year.There was a lengthy discussion on the landscaping for the main entrance.  Everyone agreed that it needs some attention and to be more attractive. 

Discussion on newsletter to inform homeowners of what is going on….also to alert homeowners about property upkeep and encourage everyone to let their property be reflective of our subdivision.

Pari discussed tree replacement  on her property and Gerry will look into whether it is the subdivision’s responsibility or if it belongs to the homeowner.  If our responsibility, it will be replaced. Rob will check on Stoney Creek Landscaping and with the guy at the service station on Tienken and Rochester.

Clarence did his comprehensive financial report.  We discussed liens for property owners with back dues.  Safe deposit box can possibly be closed.  The Association collected over $31,000 in dues.

Past due list with homeowners and the amounts due as of 2/1/2016.  The checking account---2016 actual/budget as of January 31, 2016.
